Vetted Cases
How it works

From greeting to a booked consultation,
under your firm's approved rules.

Every call runs the same gated flow: safety first, conflict check before any case facts, then intake, then booking. Here is exactly what Vanessa does.

FIXED FIRST MESSAGE "Hi, thanks for calling {your firm}, this is Vanessa. How can I help you today?"
1
Greets, naturally

The configured AI and recording notice is delivered at the start of the call.

2
Hears the reason

A personal-injury matter continues. Spam, vendors, and non-PI calls are routed out or a message is taken.

3
Brief empathy + AI disclosure

"Hi, thanks for calling our office. I'm Vanessa, an automated intake assistant, and this call may be recorded or transcribed to help the firm respond. How can I help?"

4
Collects names

Caller's name and best callback number, and the adverse party they are in a dispute with.

★ CONFLICT-CHECK GATE · before any case facts
OPTIONAL · UP TO THE FIRM
Notes the other party for your conflict check

If a conflict is flagged, Vanessa does not take the facts. She tells the caller the firm will confirm it can help and call right back, and flags it for you. The firm chooses the screening source and fallback. If no automated source is available, Vanessa can still note the adverse party for the firm to verify.

6
Runs PI intake

Mechanism of injury, date, location, injuries, treatment, insurance, and police report, conversationally, never as an interrogation.

no legal advice · no case-value prediction
crisis-safety · PII minimization
7
Disposition
Business hours, priority call: warm transfer to the on-call attorney.
Business hours, standard: books the consult and confirms the slot.
After hours: schedules the first opening and reassures the caller.
Confirms, sends, wraps

Texts and emails the confirmation, then closes with the next step. CRM delivery and field mapping are configured and validated during the signed implementation; structured intake follows the firm-selected schedule.

Why Vanessa, not a generic AI phone bot

The flow combines firm-approved screening, routing, booking, and delivery.

Inside privilege, as your agent

The role a receptionist or intake paralegal fills, not a third party you disclose to.

Conflict check before facts

Adverse party noted for your conflict check before any details are discussed.

Human attorney in the loop

Every matter is reviewed by your lawyer; AI summaries are labeled unverified.

No training on your data

Enterprise no-training providers under contractual terms. Consumer chatbots may operate under different data terms.

PI-specialized

Screens each caller against your firm’s criteria: mechanism, treatment, insurance, and police report.

Short retention, isolated

Audio off by default. Transcripts up to 3 days. Retention and legal holds are set per firm.
